Which voice AI platforms provide a full audit trail for every regulated customer call?

What a full audit trail for a regulated customer call should contain, what four voice AI platforms say they record, and the questions to put to any vendor before you buy.
The short answer
Several voice AI platforms say they keep audit trails or audit histories of customer calls, including NiCE Cognigy, MEGA.AI, Parloa and PolyAI. MEGA.AI, voice AI for debt collection and other regulated customer calls, records every call, logs every step its agent takes in a timestamped Call Phase Log tied to the journey the client approved, and lets clients download recordings and a complete contact report for each customer. None of those statements tells you on its own whether a record is complete. A full audit trail lets you answer five questions about any single call: who the agent spoke to, what was said, why each response was chosen, what was flagged and where the call ended. You also need to keep that record for as long as your own policy requires. Test every vendor against those five questions before you buy.
What should a full audit trail for a regulated call contain?
For a voice AI agent on a regulated call, the record has seven parts. Recordings and transcripts are the easy part. Ask how each vendor handles the other five.
- The recording. The audio of the call, which you can play back and download.
- The transcript. The conversation as text, so it can be searched and reviewed quickly.
- A timestamped log of each step. Every step the agent took, in order, with the time it happened: identity checks asked and passed, notices given, transfers made.
- The reason for each step. What the customer said, how the agent interpreted it and which rule or approved response followed. For an agent that composes its own replies, that also means the instructions it was given, the model version and the text the model produced.
- Flags and notices. Vulnerability indicators, complaints and other flags raised during the call, what happened next, and whether required notices, such as the recording notice, were given.
- The version that was live. Which version of the journey and its wording was in use on the call, and who approved it.
- Retention, export and protection. How long each part is kept, whether you can export the complete record into your own archive, who can open it, and whether anyone can alter or delete it.
As we put it in how to choose voice AI for a regulated UK firm, a transcript shows what was said, not why. The difference matters most when the agent composes its own replies during the call; we explain it in deterministic vs generative voice AI for FCA-regulated collections.
Which voice AI platforms say they keep an audit trail of calls?
The NiCE Cognigy, Parloa and PolyAI statements below are quoted from their own websites, as checked on 3 November 2026, and vendors are listed by product name in alphabetical order. They are the vendors' own words, not our assessment, and products change, so confirm the detail with each vendor.
- NiCE Cognigy. Its homepage describes "Full execution traceability, built-in safeguards and a complete audit history across every AI and human interaction".
- MEGA.AI. Every call is recorded, and each produces a Call Phase Log of every step the agent took, timestamped to the second, alongside the recording, the transcript and flags such as vulnerability indicators. Recordings, and a complete contact report for each customer, can be downloaded, and MEGA.AI publishes how long recordings, transcripts and phase logs stay on its platform.
- Parloa. Its FAQ, answering "How secure and compliant is Parloa?", says "You get audit trails, versioning, and continuous monitoring to keep interactions enterprise-secure." Its security page refers to "audit-ready logs".
- PolyAI. Its guide to voice AI compliance in financial services says PolyAI deployments support Consumer Duty compliance through "documented escalation paths for vulnerable customers, real-time tone calibration based on caller emotion, full call recording, and interaction audit trails".
Ask every vendor, MEGA.AI included, how long call records are kept, whether you can export the complete record and whether anyone can alter it. Contact centre platforms also record calls and keep administrative logs. If an AI agent runs on top of one, ask which system holds the agent's own decisions, and whether the two records can be joined for a single call.
What does the MEGA.AI audit trail record for each call?
MEGA.AI is a vendor too, so this section sticks to what the MEGA.AI platform records today, and the next one says where the record stops.
For each call:
- Call Phase Log. Every step the agent takes, timestamped to the second, most with the step it came from.
- Recording. Every call is recorded. Play the recording in the platform or download it. If a customer says no to recording, the agent transfers the call to a person straight away.
- Transcript. The conversation as text.
- Flags. Flags such as vulnerability indicators and an angry customer. Vulnerability indicators are checked on every customer turn from the first, before identity verification completes, and recorded on the call when raised.
- Outcome. Where the call went and how it ended, shown in the platform.
For each customer, a downloadable contact report brings together contact details, call history, SMS and every transcript.
MEGA.AI's agent does not write its own replies. Language models classify what the customer said, the journey the client approved decides the next step, and every line the agent speaks is approved wording. When speech recognition is unsure, the agent re-confirms what it heard or hands the call to a person. That is why the phase log, read with the transcript, can explain a call: it shows which step of the approved journey the call was in at each point.
This is part of a MEGA.AI Call Phase Log from an inbound identity verification call that ended in a transfer to a colleague. Times run from the moment the call was answered, some entries are left out, and entries logged in the same second are shown in journey order. Phase names differ by journey.
- 00:00 Call Answered
- 00:01 Id Account: Confirmed
- 00:03 Permission recording
- 00:03 Id Name: Asked
- 00:16 Name Confirmed
- 00:16 Id Address: Asked
- 00:28 Id Address: Details
- 00:57 Id Address: Zip Confirmed
- 00:57 Id Confirmed
- 00:57 Global Transferred
- 01:03 Transferred
- 01:03 Call Disconnected
The log shows when the recording permission step ran, the identity checks the agent ran, how long each took and where the call went. With the recording and transcript, a reviewer can see what was said at each point and which step of the approved journey came next. See what each record holds on our voice AI audit trail page.
For outbound campaigns, MEGA.AI also logs each call attempt with its time, campaign and outcome, such as no answer or a transfer to a person, and logs the call lifecycle, including ringing duration, so clients can evidence compliance with Ofcom's persistent misuse policy.
MEGA.AI runs inbound ID&V in production. BPO Collections, an FCA-authorised debt collection agency, uses it to verify inbound callers before transfer: more than 90,000 calls in the first six weeks, and more than 42,000 transferred to agents in the first weeks of live operation, each with the verification status, a summary and the transcript (case study). MEGA.AI is certified to ISO/IEC 27001, ISO/IEC 27701 and ISO/IEC 42001, audited under SOC 2 Type II for the Security criteria, and holds Cyber Essentials Plus; see Trust & compliance.
Where does the MEGA.AI record stop?
- Keep long-term records in your own archive. On the MEGA.AI platform, recordings are kept for 30 days. Transcripts and phase logs are kept while the contract runs and deleted 90 days after it ends. Download the recordings and contact reports you need to keep for longer into your own archive, under your own retention policy.
- Some questions sit outside the call record. The Call Phase Log does not show which version of the journey was live, who has opened the record or whether it has been changed. Ask us how these are handled for your deployment.
- The record shows what the agent did, not whether the journey was right. Your organisation designs and approves the journey. Whether it delivers good outcomes is a matter for your own testing and monitoring.
- Detection is not perfect. No system catches every sign of vulnerability. Review samples of your own calls, not only the flagged ones.
What should you ask a voice AI vendor about its audit trail?
- Show me the complete record of one call, step by step, using a demonstration call or an authorised example.
- For each response the agent gave, can you show why it was chosen: the input, the rule or instructions, and the model version?
- Which flags and notices are recorded for each call, and how do we find the calls that carry them?
- How do we know which version of the journey and its wording was live on a given call, and who approved it?
- How long is each part of the record kept on your platform, and can we export all of it to our own archive?
- Who at your company and ours can open recordings and transcripts, and is that access logged?
- Can anyone, including your own staff, alter or delete a record, and how would we know?
Ask every vendor, including us, to answer all seven in writing, with evidence rather than slides. Book an executive briefing and we will walk you through the record of one MEGA.AI call, using a demonstration call.
Frequently asked questions
Which AI voice platforms are auditable?
Any vendor can show you a recording. An auditable platform also shows each step the agent took, why it took it, what was flagged and how the call ended, and lets you keep the record. MEGA.AI logs every step its agent takes in a timestamped Call Phase Log tied to the client's approved journey, with the recording, transcript and flags alongside. NiCE Cognigy, Parloa and PolyAI also describe audit trails or audit histories on their websites.
What is a Call Phase Log?
A Call Phase Log is MEGA.AI's timestamped record of every step its voice AI agent takes on a call, most with the step it came from, for example Call Answered, Id Name: Asked, Name Confirmed, Id Confirmed and Transferred. Phase names differ by journey.
Can we keep voice AI call records in our own archive?
With MEGA.AI, you can download call recordings and a complete contact report for each customer, with contact details, call history, SMS and all transcripts. On the platform, recordings are kept for 30 days, and transcripts and phase logs are kept while the contract runs and deleted 90 days after it ends, so download the recordings and contact reports you must keep for longer into your own archive.
Does MEGA.AI's voice agent write its own replies?
No. Language models classify what the customer said, the journey the client approved decides the next step, and every line the agent speaks is approved wording. When speech recognition is unsure, the agent re-confirms what it heard or hands the call to a person.
